Real estate virtual assistant or automation?
Short answer
A real estate virtual assistant is a person who handles repeatable agency admin, while automation suits those same jobs when the steps stay stable and a person still approves anything that sends. Formal notices, pricing advice, and licensed decisions stay with the agent or property manager. If a VA suits you better, hire one.

No technical knowledge needed. You approve what matters.

- In person on the Gold Coast and in Brisbane. Remote across Australia and New Zealand.
- Fixed-price quote in writing before work starts, based on your project brief or a free 15-minute build review.
- Anything sensitive waits for a person’s approval, unless you explicitly agree a lower-risk exception.
- Results reviewed at 60 days against the baseline we agree in writing.
What a real estate VA actually does
A real estate virtual assistant is a remote admin person, usually hired through a staffing seller, working from written instructions. Typical tasks are listing uploads, CRM data entry, appointment scheduling, inbox and enquiry triage, social posts, and rent-roll admin for property managers. They are not a licensed agent. They still need system access, and someone in the agency still checks the work.
- Listing uploads from notes the agent already has.
- CRM data entry after open homes.
- Appointment scheduling and confirmations.
- Inbox and enquiry triage, then a first-reply draft.
- Social posts from an approved listing, waiting for a person to publish.
- Rent-roll admin for property managers.
A VA suits work that still needs a person, but not a licensed person. Same steps every day, and a draft that can wait for approval: automation is usually the better fit.
Which jobs suit a VA, automation, or the licensed person
These are the repetitive jobs most sales and property-management teams already do. A virtual assistant can do the ones that still need a person. Automation can draft and queue the ones with stable steps. A licensed agent or PM still owns pricing, legal notices, and anything that sends.
| Job | Virtual assistant | Automation | Keep with the agent/PM |
|---|---|---|---|
| New-enquiry first reply | Drafts a first reply from listing facts and the questions you already answer. | Drafts in the agency voice and queues it for approval. | Anything uncertain, commercial, or outside the listing facts. |
| Inspection booking confirmations | Sends confirmations and records the time once the rules are set. | Offers times and logs the booking after a person confirms the rules. | Access rules, disputes, and exceptions. |
| CRM updates after opens | Enters names, notes and next steps from the open-home sheet. | Can log a standard follow-up once the sheet is complete. | Who to chase, offers, and anything commercial. |
| Listing copy drafts | Writes a first draft from notes and photos you already have. | Writes a first draft from the same notes. | Facts, legal wording, and what goes live. |
| Maintenance request intake | Logs the request, asks for photos, and passes it to the PM. | Logs the request, asks for photos, and queues options for review. | Approving a tradesperson and anything urgent. |
| Arrears reminders | Can send an early reminder in the agency voice, if a person has already agreed that case. | Drafts an early reminder for cases you have already agreed. | Formal notices, payment plans, and send authority. Once a notice is due, a person takes over. |
| Appraisal and pricing advice | Can assemble comparable sales the agent asked for. Does not set the price. | Can gather notes. Does not give a figure. | Appraisal figures, pricing advice, and investment commentary stay with the licensed person. |
| Vendor reports | Can compile what happened this month into a pack for the agent. | Drafts a monthly update from what actually happened on the property. | What the owner is told, and sending it. |

Published ranges from Australian automation providers that print prices. GST treatment varies and is often not stated. I do not publish a price list of my own: send a project brief or book a free 15-minute build review, then get one fixed price in writing before work starts.
Published figures, checked 23 September 2026. A VA is an ongoing hourly cost plus supervision. A custom build is mostly up front, then optional running costs. Neither number is a quote for your agency.
The combination most agencies end up with
Most agencies do not pick only a virtual assistant or only automation. Automation prepares the draft. A VA or in-office admin checks it. A licensed agent or PM still owns anything that sends, prices, or has a legal deadline.
A person in the loop for anything that sends is the same rule I use on my own rentals. Formal notices, financial decisions and pricing advice stay with a person. Varied jobs that need a phone call still suit a VA. Stable steps at volume usually suit automation.
The connected tools, permitted actions, approval points, and escalation rules are agreed in writing before access is enabled. Sensitive actions stay behind human approval unless a lower-risk exception is explicitly approved.
If a VA suits you better, hire one.
Questions to ask a VA provider
Ask these before you hand over tenant or vendor files. The same questions apply to an automation build.
How is tenant and vendor personal information handled?
Who can see names, leases, ID and bank details, where the files live, and how they are deleted when the arrangement ends. The Office of the Australian Information Commissioner publishes guidance on privacy and commercially available AI products.

What access do they need to the CRM or property system?
Ask for the minimum login, not an owner account. Confirm who creates it, what they can change, and how you revoke access if the assistant leaves.
What hours and timezone do they work?
Australian enquiries arrive in the evening and on weekends. Check overlap with office hours, after-hours cover, and whether the published rate assumes a weekly minimum.
Who supervises the work, and who sends?
A VA still needs instructions, samples of your voice, and a person who checks drafts. Anything that goes to a vendor, buyer, tenant or owner should wait for that check.

Questions agencies actually ask
Should I hire a real estate virtual assistant or automate first?
Start with the job. Same steps every time, and a draft that can wait for approval: automate first. Each case needs a person: a VA can take that admin. Formal notices, pricing advice and licensed decisions stay with the agent or PM either way. If a VA suits you better, hire one.
What does a real estate virtual assistant actually do?
Typical tasks are listing uploads, CRM data entry, appointment scheduling, inbox triage, social posts, and rent-roll admin. They work from instructions. They are not a licensed agent.
Is automation cheaper than a virtual assistant?
Not always. Seller-published offshore rates include Virtual assistants from $8 AUD an hour (20 to 40 hours a week) and Remote Staff at “As low as AUD 8 – AUD 15 per hour”. Clerks Award Level 1 admin is $26.97 an hour plus 12% super. Published Australian builds list $1,500–$5,000 for one workflow. A VA is ongoing plus supervision. A build is mostly up front.
Compare hire, VA and automation costsCan a VA send arrears or legal notices?
Early reminders can be drafted by a VA or by automation, for cases you have already agreed. Formal notices, payment plans and send authority stay with a person. The legal threshold is a person.
Do you place virtual assistants?
No. I build automation. I do not sell VA staffing. If a virtual assistant suits the job better, hire one. The free 15-minute build review still leaves you with the jobs worth keeping human and the one workflow worth fixing first.
