AI for real estate agents: what to automate first

Short answer

Start with the replies and follow-ups your team already writes the same way every week. Let AI draft rental and buyer enquiries, open-home follow-up, and maintenance triage in your voice. A person still approves anything that sends. Legal notices, financial decisions and pricing advice stay with a person. One workflow first, then expand.

No technical knowledge needed. You approve what matters.

  • In person on the Gold Coast and in Brisbane. Remote across Australia and New Zealand.
  • Fixed-price quote in writing before work starts, based on your project brief or a free 15-minute build review.
  • Anything sensitive waits for a person’s approval, unless you explicitly agree a lower-risk exception.
  • Results reviewed at 60 days against the baseline we agree in writing.

Agency jobs, one at a time

These are the repetitive jobs most sales and property-management teams already do. AI can draft and queue them. A person still decides what goes out.

What AI can draft, what stays with a person, and which jobs make a good first workflow.

What not to automate

Keep a person on anything you would not put your name on unread.

  • Sending formal notices — entry, breach, termination, or anything with a legal deadline.
  • Anything legal or financial that has not been approved in writing.
  • Pricing advice, appraisal figures, or investment commentary.
  • Guessing when the listing facts are missing or the case sits outside the agreed job.

How approval works

The workflow is designed around control, not blind sending.

The connected tools, permitted actions, approval points, and escalation rules are agreed in writing before access is enabled. Sensitive actions stay behind human approval unless a lower-risk exception is explicitly approved.

Anything outside the agreed job goes to a person instead of being guessed at.

What it costs in Australia

Australian providers that publish prices list $1,500–$5,000 for one workflow build and $3,500–$15,000 to connect several systems. I do not publish a price list of my own: send a project brief or book a free 15-minute build review, then get one fixed price in writing before work starts.

Published ranges, checked 23 September 2026. GST treatment varies and is often not stated. Ongoing support is optional and can be cancelled anytime.

A single agreed workflow is commonly targeted for 7 to 14 days after the required access and inputs are confirmed. Larger projects take longer, with their own schedule agreed in writing.

Questions agencies actually ask

Will AI replace my property managers?

No. The aim is the opposite: take the repetitive replies, follow-ups and admin off the desk so your team spends its hours on judgment, inspections and relationships. Sensitive actions stay behind human approval.

Is it safe with tenant data?

Access is not switched on until the connected tools, permitted actions, approval points and escalation rules are agreed in writing. I do not connect a tool just because it is common in the industry. Compatibility, permissions and what a person must approve are confirmed during scoping.

Which tools do I need?

Where supported, the workflow is installed on the email, CRM and chat tools your team already uses. Compatibility, permissions and human approval points are confirmed before anything is connected. I do not start from a generic vendor list.

How much does it cost in Australia?

Send a project brief, or book a free 15-minute build review. Your project is scoped and quoted at a fixed price in writing before work starts. Published Australian ranges are $1,500–$5,000 for one workflow build and $3,500–$15,000 to connect several systems. Ongoing support is optional and can be cancelled anytime.

How long to set up one workflow?

A single, clearly scoped workflow is commonly targeted for 7 to 14 days after the required access and inputs are confirmed. That is a target for one agreed workflow, not a promise that a whole agency will be live in two weeks.

Do you also build agency websites?

Yes. I design and build custom real estate websites with property search, listing pages and a selling journey, such as the live Sunbright Investment agency site.
